Terms and Conditions

1. Membership Agreement

By registering for services at Tidal Fitness, you (“the Member”) agree to abide by the following Terms and Conditions, which govern participation in all classes, small group personal training, lifestyle coaching, and related services and products offered by the Studio.

 

2. Services Provided

Tidal Fitness specializes in:

  • Group exercise: varied workouts in a medium sized group setting (maximum 10 participants).

  • Small Group Personal Training: Customized workouts in a small group setting (maximum 4 participants).

  • Lifestyle Coaching: Guidance and accountability in exercise, nutrition, recovery, stress management, and overall wellness.

Programs are designed to support long-term, sustainable health and fitness results. Clients are expected to participate fully and communicate regularly with their coach.

As part of Tidal Fitness’s service, we will contact members that do not attend for a week without prior notification to a coach, this is to offer support for members to help them to return to their sessions. Failure to communicate with Tidal Fitness, and continued non-attendance for 1 month, may result in termination of membership.

 

3. Membership Options and Payments

  • Memberships may be structured as [monthly direct debit, session bundles, or drop-ins].

  • Payment is due in advance via the Legitfit platform.

  • All purchases are non-refundable and non-transferable.

  • Pricing is subject to change with 30 days' notice.

 

4. Scheduling and Attendance

  • New Member Intro sessions must be attended before attending any group sessions.

  • Training sessions are by appointment only and must be scheduled in advance via the Legitfit platform or directly with a member of the team.

  • Check-ins are either every month (group PT members) or every other month (group exercise members). We will not accept booking of check-ins more than this allowance, unless additional check-ins are purchased.

  • Punctuality is expected. Sessions begin and end on time.

 

5. Cancellation Policy

Membership Cancellation

  • Clients may cancel their membership via Legitfit, email, phone or in person.

  • Cancellations become effective at the end of the current billing cycle.

  • No refunds are issued for unused sessions or partial months.

·       14-day cool-off period: If you choose to cancel within the first 14 days after purchasing, you will receive a partial refund based on the number of sessions attended.

Session Cancellation (Training & Coaching)

  • You can cancel sessions within your member package (intro sessions, classes, group pt, check-ins) at any time prior to the start time via Legitfit; however, we do ask that you cancel as soon as possible to allow other members to book the space.

  • Your group session allowance resets each month, if you do not attend all your group sessions it will result in loss of the session. These cannot be transferred over to the next month.

 

6. Freezes

  • Members may request a pause in training (freeze) with a member of the team. This will avoid payment of the joining fee if they rejoin in the future.

 

7. Client Responsibilities

  • You are responsible for following program instructions, attending scheduled sessions, and communicating openly with your coach. Progress depends on your consistency, commitment, and adherence to the program.

  • You agree to be honest about medications, injuries, limitations, or changes in health status.

  • You respect and encourage other members, helping Tidal to maintain a positive and support environment. Any member found to be unsupportive to others, gossiping or creating an uncomfortable environment may have their membership terminated without refund.

 

8. Health Acknowledgment and Waiver

Participation involves physical activity and wellness coaching. By enrolling:

  • You confirm that you are physically able to participate, or have been cleared by a healthcare provider.

  • You agree to share medical information that may impact your ability to participate.

  • You accept all risks and agree not to hold Tidal Fitness, its staff, or affiliates liable for any injury or condition resulting from your participation, unless due to gross negligence.

 

9. Code of Conduct

  • Respect your coach, other members, and studio equipment.

  • Disruptive, disrespectful, or unsafe behaviour may result in suspension or termination of services without refund.

 

10. Privacy and Confidentiality

  • All client information, including health data and coaching conversations, is confidential.

  • We will not share your information without your consent, except as required by law.

  • Picture and videos: from time to time, we may want to share pictures and videos of our sessions on social media/our website. We assume you agree to be in pictures/videos unless directly stated.

  • We have CCTV devices installed for security and safety purposes. The recordings are processed according to GDPR guidelines and will not be shared, except as required by law.

 

11. Program Modifications

Tidal Fitness reserves the right to modify programs, schedules, and these Terms and Conditions with 14 days' written notice.

 

12. Governing Law

These Terms and Conditions are governed by the laws of Wales.

 

13. External Group Events

From time to time, Tidal Fitness may organize off-site events such as outdoor workouts, hikes, wellness retreats, social meetups, or educational workshops (collectively referred to as “Group Events”).

Participation Terms

  • Participation in Group Events is voluntary and may require separate registration or payment.

  • Members are responsible for their own transportation and preparation unless otherwise specified.

  • The same standards of conduct, safety, and respect outlined in this agreement apply to all off-site activities.

Assumption of Risk

  • By participating in Group Events, you acknowledge that these activities may involve risks, including but not limited to physical exertion, environmental exposure, and interaction with other participants.

  • You agree to hold Tidal Fitness and its staff harmless from any injury, loss, or damage sustained during or as a result of participation in such events, except where caused by gross negligence.

Weather or Venue Changes

  • Tidal Fitness reserves the right to reschedule, relocate, or cancel any Group Event due to weather, safety concerns, or insufficient attendance. Any paid registrations will be refunded or credited at the Studio’s discretion.

By enrolling in a program at Tidal Fitness, you confirm that you have read, understood, and agreed to these Terms and Conditions.
